Leaveproof builds a 6-year holiday records pack for every worker from your payroll export (Xero Payroll, BrightPay or any payroll CSV, mapped column by column) plus the employer’s leave sheet: holiday entitlement or 12.07% accrual, leave taken and balances, 52-week average pay checks on every holiday payment, and an exceptions report. For payroll bureaus, accountants and small employers; it runs in your browser and nothing is uploaded.

Leaveproof covers Great Britain (England, Wales and Scotland). Northern Ireland has its own holiday rules and is not covered.

How it works

  1. Subscribe above. Checkout is handled by Paddle, our reseller and Merchant of Record.
  2. When checkout completes you see your license key (it starts with txn_).
  3. Paste the key into Leaveproof. Your browser checks it with our server each time you open Leaveproof and before each download. Only the key is sent, never payroll or leave data.

Questions

What files do I need? A payroll export as CSV with one row per worker per pay period (or per pay item): worker ID, pay period dates, gross pay, hours worked, and holiday hours and pay if you have them. BrightPay Analysis reports and Xero Payroll UK reports let you choose the columns, so Leaveproof asks you to confirm which column is which, and remembers it for each employer. The leave sheet (worker, dates, hours or days, type) is optional but recommended.

What does it work out? For regular-hours workers, 5.6 weeks a year pro-rated for joiners and leavers. For irregular-hours and part-year workers in leave years from 1 April 2024, 12.07% of hours worked each pay period, rounded as the regulations say. Then leave taken, carried in and the balance; the 52-week average pay before each holiday (skipping weeks with no pay, back up to 104 weeks); and checks for holiday paid below that average, rolled-up holiday pay below 12.07%, gaps in the payroll record, unexplained carry-over, leave left at year end and leavers owed pay in lieu.

Is it legal advice? No. It applies the statutory minimum rules to the data you give it, with the simplifications listed on the home page, and flags what it cannot decide. Contracts, collective agreements and individual cases can change the answer.

Is it connected to Xero or BrightPay? No. Leaveproof is independent and not affiliated with or endorsed by Xero or BrightPay. You export the report yourself.

How do I cancel? Use the link in your Paddle receipt email, or email us and we will cancel for you. See Terms.
